Property access management in the Finance Workspace
Managing user access
Property groups are a simple, effective way to manage access to properties across your team. They help you keep your workspace organized by grouping properties together and assigning team members access based on their role and company.
This ensures that your team has access only to the information they need. Team members within a property group will have access to the details of all the properties included in the group.
Property groups
A property group is a custom group of one or more properties that belong to the same company. Once you create a group, you can assign team members to it—those members will then have access to all properties within that group.
A property group can include as many or as few properties as you need.
Only properties and users belonging to the same company can be grouped together.
Company admins are automatically included in a special group called “All properties”, giving them access to every property in the workspace. This group cannot be modified or deleted.
To create a new group:
- Navigate to Settings > Companies > Properties tab
- Click “Add property group”
- Select the company
- Enter a clear, descriptive group name
- Assign properties to your group by selecting them from the list
- Assign team members to your property group
Please note that only team members and properties that belong to the same company can be part of a property group.
Manage property groups
To make changes to an existing property group:
- Go to Settings > Companies > Property Groups tab
- Click the three dots (…) next to the group you want to manage
From here, you can:
- Add or remove properties in the Properties tab
- Add or remove team members in the Team Members tab
- Rename the group by clicking on the group name and entering a new one
All updates are saved automatically.
Delete a property group
Deleting a property group does not delete the properties themselves, but it does remove the group's structure and access settings. Team members will lose access to the properties in the deleted group unless:
- They have individual access to those properties, or
- They are part of another group that includes them
To delete a property group:
- Go to Settings > Companies > Property Groups
- Click the three dots (…) next to the group
- Select Delete group
- Type the exact name of the group when prompted
- Confirm by clicking Delete
⚠️ The “All properties” group cannot be deleted, to ensure admins always retain full access.
Individual Property Access
In addition to property group access, you can also provide your team members with individual property access.
Go to: Settings > Team Management > … icon beside the relevant team member
From the [team management panel], open the Property Access tab to
- Add or remove individual property access
- Add or remove property group access
FAQs
Can I give team members access to properties without using groups?
Yes. Go to Settings > Team Management, click on the three dots next to the user, and manage access via the Property Access tab.
How can I delete a property group?
Follow the steps in the Deleting a Property Group section above. You’ll need to confirm the group name to complete the deletion.
What happens to team members if I delete a property group?
They’ll lose access to any properties that were only accessible via that group—unless they’ve been granted individual access or are part of another group with access.
